Terms & Conditions

These terms and conditions come into force as of 1st March 2025 and replace all previous terms, conditions, rules and regulations.

INTRODUCTION

Part A – terms and conditions of membership

All members are bound by these terms and conditions.

Part B – rules and regulations for using facilities

All members are bound by these rules and regulations. They are necessary to make sure that we continue to offer an enjoyable and safe environment for our members, Tewkesbury Park Team, guests and visitors.

These terms and conditions apply at all times and cannot be varied under any circumstances.

 

PART A – TERMS AND CONDITIONS OF MEMBERSHIP

Definitions that apply to Part A

  • “You” – means the lead member
  • “Linked member” – means anyone who is linked to your membership through TP Wellness multi-membership
  • “Your entire membership” – means your membership and the membership of your linked members
  • “We and us” – Tewkesbury Park Ltd

1 - Responsibilities of lead members and linked members

Every person who signs a membership application form will be liable under this agreement for themselves and any additional parties who are subject to the contents of that form.

All signatories to an application form will be responsible for paying the membership fees for the individuals named within or related to that form, including all linked members (whether adults or children) and will be bound by these Terms and Conditions.
The responsibility for payment of the fees of any linked member continues until, in compliance with our notice requirements, the linked member changes their membership type or terminates their membership.

 

2 - Notice

If you want to give notice, it must be in writing
• by email to health@tewkesburypark.co.uk or golf@tewkesburypark.co.uk, as applicable; or
• by post.

Details of our postal address are on the website. If you need to give us evidence of certain things, you can provide them as attachments to an email or as a hard copy.

Notice provided via email will be deemed received with immediate effect. Notice via post will be deemed completed 24 hours after being sent by first class post and 48 hours after being sent by second class post. We strongly advise that when you give notice, you retain documentary proof that it has been sent.

For example:
• if you send us notice by post, send it by recorded delivery (we will have to sign the delivery notice when we receive it);
• if you send us your notice by email, ask for a delivery receipt.

We will confirm we have received your notice within 7 days of receiving it. If you do not receive this confirmation within 7 days, you must immediately let us know so that we can check whether we have received it.

From time to time, we will need to contact you about your membership, so it is important you let us know if your address, contact phone number or email address changes. If we need to give notice to you for any reason, this will be deemed effective if we send it to the address or email address we have in the records we hold about you.

 

  1. Membership categories

3.1 TP Wellness

You are entitled to use the health and wellness facilities during the days and hours available under your category of membership.

  • Anytime Anyday membership entitles entry for all opening hours
  • Anytime Weekday entitles entry for all opening hours Mondays to Fridays
  • Daytime Weekday entitles entry from 09:00 until 16:30 Mondays to Fridays

Discounted membership rates for members aged under 18 and 18 - 21 inclusive are available to anyone under the age of 18 and 22 respectively on 1st March, i.e. at the start of the relevant membership year.

Under 18s must be accompanied by a fee-paying adult and are restricted to the relevant membership validity of the accompanying adult.

Classes are included in membership fees, provided they meet the qualifying membership times.

3.2 TP Golf

5-day Membership applies Monday to Friday.

Associate membership is available to anyone under the age of 31 on 1st March at the start of the membership year.

Gen Z membership is available to anyone under the age of 21 on 1st March at the start of the membership year.

Accompanied under-18s membership is available to anyone under the age of 18 on 1st March, i.e. at the start of the relevant membership year, with either a common residential address or family relationship with a full 7 or 5-day TP Golf member.

The accompanied under 18 member and linked TP Golf Member must be playing together at the same time.

All discounted fees require relevant proof of identification.

 

4 - Starting your membership

Your membership will begin on the day when you make your application, or at a later date if you indicate this on your application form. You can change your mind about joining. To do this you will need to give notice in writing. You can do this at any time up to 14 days after making your membership application and your entire membership will end. If you or any of your linked members uses the wellness or golfing facilities during the 14-day cancellation period, we will charge a proportion of the monthly fee to cover this period and we will refund the balance of any fees you have already paid.

When you and anyone linked to your membership join, you will each need to have your photograph taken. This is to allow us to check your identity when you enter the facilities.

 

5 - Membership fees & length of membership

5.1 Annual membership

Your membership fee is due every year and covers the year to come. You must pay for your membership by making one non-refundable payment each year, on or before 21st March. You can renew via your online portal or make payment in person at our TP Golf & Wellness reception any time between 1st March and 21st March. If you choose to renew or join after the 22nd March each year, you must transfer to monthly membership for the remainder of the membership year.

Annual fee TP Wellness or TP Golf members cannot upgrade to TP Resort membership part-way through the membership year by adding TP Golf or TP Wellness respectively; a monthly TP Golf or TP Wellness membership must be taken as a separate membership until the end of the membership year.

If you do not wish to continue your annual membership, you will simply not renew your membership at the start of the following membership year, making no further payments.

5.2 Monthly membership

Fees are due monthly by direct debit. We will ask your bank for your monthly payment on the 5th day of each month.

The first month's calculation of fees will be pro rata, based on the remaining days of the month until the direct debit payment will be taken, and is payable by debit or credit card at the time.

Your minimum commitment for monthly membership is to pay for the first 6 full calendar months of your membership with us, together with the part of a month mentioned above.

If you want to end your membership, you will need to provide 3 calendar months' notice, in writing (see clause 2 'Notice'). Notice can be provided after 3 full months' membership.

Monthly membership is a rolling contract, with an annual price review, effective from the start of the membership year - 1st March.
If no notice is given, your monthly membership will continue indefinitely, subject to clause 11 'Cancelling your membership'.

5.3 30-day Pay-as-you-Go Flexi membership

For 30-day "pay as you go"/flexi-membership, payment is due in advance by debit or credit card and is non-refundable.

TP Golf high season is from 1st March to 31st October; low season is from 1st November to 28th February - the 30-day fee will relate to th.

5.4 Discounted fees

All discounted fees require relevant proof of identification.

5.5 TP Golf insurance cover & levies payments

All TP Golf members, excluding 30-day pay as you go, benefit from Golf Guard Option One insurance cover included in their membership fees.
Levies payments are mandatory by all members, excluding 30-day pay as you go. They are payable in advance and are a one-off annual payment by debit or credit card only.

5.6 TP Resort membership

Joint TP Resort membership fees are payable either both annually or both monthly.

5.7 Multi-membership - TP Wellness

Multi-membership applies to TP Wellness membership only and the discounted membership rate applies to the linked members, who take out the same membership category as the lead member. Multi-membership discount only applies to Anytime, Anyday; Anytime, Weekday; and Daytime, Weekday memberships.
To be eligible for a multi-membership, members will need to demonstrate either a common residential address or proof of family relationship.

5.8 Member discount

All members of TP Golf & TP Wellness, including those on 30-day flexible memberships, enjoy a 20% discount scheme on food & beverage purchases & spa treatments for themselves, provided they use their membership card to make the transaction. The discount does not apply to:

  • cash, debit or credit card transactions, and / or
  • when booking banqueting events, and / or
  • multiple purchases on behalf of a group, and / or
  • purchases or treatments for anyone other than that particular member.

5.9 All membership fees & golf-related levies are payable to “Tewkesbury Park Ltd”.

 

  1. Membership cards

As soon as possible after making your membership application, we will send or give you and any linked members (except for children under the age of four) a membership card that must be used each time you or they use the TP Golf or TP Wellness facilities. We reserve the right to refuse entry, or use of any of our facilities, to anyone failing to produce their actual membership card. If you lose your card, we will charge you an administration fee of £5. Your membership is personal to you and you cannot transfer it to another person. You must not lend your membership card to another person. To protect all of our members, we may ask to see another form of identification (besides your membership card) before we allow you to use the facilities. If another person uses your membership card, we reserve the right to terminate your membership with immediate effect or to suspend your access to and use of our facilities for a reasonable period of time, so that further enquiries can be made into the situation.

 

  1. Changing your membership categories

We realise that your needs can change over time, so you can apply to change your membership category by contacting us; our contact details are on the website.

You can only change your membership category after the end of your minimum period; i.e. 3 full calendar months plus 3 months’ notice in the case of monthly membership or at the end of the membership year in the case of annual membership. You may need to provide proof that you qualify for the new membership category you are applying for. When you complete an application form seeking to change categories, your membership fees will change to the current fees advertised for that new category after the end of your relevant notice period.

If you have annual TP Golf or TP Wellness membership, you can only upgrade to TP Resort membership at the end of the membership year. A monthly membership for either TP Golf or TP Wellness would need to be taken as a separate membership until that point.

If you want to link another adult member to your TP Wellness membership in order to benefit from multi-membership rates, the additional adult member will need to complete an application form, as well as providing proof of either a common residential address or family relationship.

If you pay upfront for an annual membership, you cannot add a linked member beyond the renewal period window from 1st to 21st March each year. When adding a linked member, the first month’s calculation of fees will be pro rata, based on the remaining days of the month until the direct debit payment will be taken, and is payable by debit or credit card at the time.

If you are already linked to another member through multi-membership, either you or the other member can ask to remove that link, giving the required period of notice applicable to the membership type. If we remove someone from a linked membership, the member who is left will become an individual member and be subject to individual membership charges prevailing at the time. If we remove the link between two members, each member will become an individual member.

 

  1. Suspending your membership

You can suspend your membership if you are suffering from a medical condition which means you are unable to use the TP Golf or TP Wellness facilities (this does not include pregnancy but does include a medical condition that arises during pregnancy). You will need to provide us with a suitable level of documentary evidence of such condition. The suspension will take effect from the date we receive such documentary evidence. Throughout the time your membership is suspended, due to a medical condition, there will be no monthly charge in the case of monthly membership and your subsequent direct debit payment will be adjusted to account to account for time lost. In the case of annual membership, we will extend your membership by the period of time for which the suspension lasts.

If you suspend your monthly membership during your minimum notice period, we will extend the minimum notice period by the total period for which your membership was suspended. Accordingly, you will remain liable for payment of the full notice period.

If you need to suspend your membership due to a medical condition, you will need to notify us of this in writing and supply the suitable documentary evidence:

  • by email to golf@tewkesburypark.co.uk or health@tewkesburypark.co.uk; or
    • by post to Tewkesbury Park, Lincoln Green Lane, Tewkesbury, GL20 7DN.

If your TP Wellness membership has linked members:
• you can suspend the entire membership for yourself and all linked adult members and children;
• individual adult linked members can suspend their membership;
• you can suspend the membership of individual linked children; and
• if you suspend your and all your adult linked members’ membership, the membership of any linked children will also be suspended.

You must make sure that we have received the membership suspension request and you must retain proof of such notice having been provided. The suspension will not take effect until we have received your written request.

For example:
• if you send us your suspension request by post, send it by recorded delivery (we will have to sign the delivery notice when we receive it);
• if you send us your request by email, ask for a delivery receipt.

Your membership will automatically restart at the end of the suspension. Suspending your membership is not the same as ending your membership.

 

  1. Ending your membership

If your membership has no linked members, only you can give notice to end it.

If your TP Wellness membership has linked members, the following rules apply for ending your monthly membership.
• If you give notice to end the membership, we will treat it as applying to you and to all linked members unless you tell us otherwise.
• If a linked member, who has signed the membership application form, gives notice to end the membership, we will treat it as applying to you and to all linked members unless the person giving notice tells us otherwise.
• If your membership as a lead member is ended, all linked members will be notified and given the opportunity to continue their membership as an individual member.
• Individual adult linked members can end their own membership by giving us notice.
• You can end the membership of individual linked children by giving us notice.

The notice periods and the restrictions on giving notice in the initial period are set out in clause 5 ‘Membership fees & length of membership’. You must continue to pay your membership fees until your membership ends at the end of your notice period.

You and any linked members cannot use the TP Golf or TP Wellness facilities once membership has ended.

 

  1. Ending your membership early

10.1 Medical condition, loss of employment, insolvency, employment relocation, or other changes in personal circumstances

At any time you can end your membership if:

  • you are suffering from a medical condition which means you are unable to use the TP Golf or TP Wellness facilities (this does not include pregnancy, but does include a medical condition that arises during pregnancy);
    • you lose your employment or are declared insolvent;
    • your residential address changes to a location which is more than 25 miles from Tewkesbury Park;
    • we are satisfied that there has been a change in your personal circumstances, other than those listed above, which means that it is no longer reasonable for you to use the facilities or to continue being a member.

To end your membership for one of the reasons listed above, you must give us notice in writing in line with the ‘Notice’ guidelines in clause 2. If you are an annual member, your membership will end on the last day of the month in which we receive your notice or your suitable evidence, whichever we receive later, and we will refund the balance of any fees you have already paid. In the case of monthly membership, if you notify us that you need to end your membership early before the 20th of the month, your membership will end without an additional direct debit payment being taken. If after the 20th of the month, one further direct debit payment will be taken before your membership ceases.

10.2 Increase in membership fees

Membership fees are reviewed annually and are effective from 1st March each year. If you pay monthly by direct debit and do not want to continue your membership when a price increase comes into effect, we will waive your notice period and you will be able to end your membership early. You must notify us of your early cancellation in writing, in line with the 'Notice' guidelines in clause 2, and no later than 14 days after the implementation of any price increase coming into effect.

 

  1. Cancelling your membership

We will not tolerate our staff or other members being verbally abused, intimidated or physically threatened. If we find this to be the case, we have the right to report you to the police, to ban you immediately and to cancel your entire membership. We may also cancel your entire membership in the following circumstances:

  • If you or a linked member breaks or repeatedly breaks this membership agreement and you do not or cannot put it right within seven days of us writing to you about it.
    • If, with your knowledge or permission, another person uses your membership card to access the facilities.
    • If, with a linked member’s knowledge or permission, another person uses that linked member’s membership card to access the wellness facilities.
    • If you or your linked member uses rude or abusive language or behaves or threatens to behave in a violent or aggressive way
    • If we receive a legitimate complaint about your behaviour or that of a linked member or if you or a linked member persistently behave inappropriately.
    • If we believe that your continued membership (or that of a linked member) is not in the interests of other members, we have the right to suspend your entire membership.

You have the right to appeal against the decision in writing to our General Manager. If we are not able to resolve the issue following your appeal, we have the right to cancel your entire membership. If we cancel your membership for any of the above reasons, we have the right to keep a proportion of the money you have paid under this agreement to cover any reasonable costs we have had to pay. We will also not accept any future applications you make for membership to TP Golf or TP Wellness and you will not be allowed to enter the resort as a guest or for any other reason.

 

  1. If you do not pay your membership fee when it is due

If you do not pay your membership fee when it is due, we will write to you to let you know. If you are paying by direct debit, we will try to take this payment from your account again later in the month. If that is unsuccessful, but your direct debit instruction is still in force, we will try to take payment again in the following month for the payment you have missed and the amount due for the current month. We may refer any missed payments, including any future payments that are due as part of your contract (for example, payments you owe for your notice period or for the rest of an annual membership), to a debt collection agency.

If you fall behind with your membership payments for more than 30 days, we will charge you an administration fee of £30. We will then charge an additional administration fee of £30 for each subsequent missed payment. If you do not pay for your membership, we may prevent you and any linked members (adults or children) from entering the wellness facilities. This does not mean that we will end your membership.

Please note that cancelling your direct debit does not mean you have given us notice to end your membership. You must give us written notice in line with clause 2 ‘Notice’ above.

 

  1. Changing your membership fees and this agreement

We may increase membership fees each year on the anniversary of our membership year, which runs from 1st March to the last day in February the following year. We will make every reasonable effort to give you sufficient written notice (sent by email) of any fee increase.

As well as the increase described above, we have the right to increase membership fees at any time to take account of any increase in the rate of VAT, currently at 20%. We will make every reasonable effort to give you sufficient notice of any increase.

We may make reasonable changes to this agreement, to these terms and conditions in Part A and to the rules and regulations in Part B at any time, as long as we give you notice before we make the changes.

 

  1. Making changes to TP Wellness facilities, services and activities

We have the right to increase, reduce or withdraw certain facilities, services or activities either permanently or temporarily (for example, to carry out cleaning, repairs, maintenance or security work) and will give you as much notice of this as is reasonably possible.
If the TP Wellness facilities are closed for more than seven days in a row and we do not provide another facility (this may be a facility with fewer services or a temporary facility) onsite or somewhere up to 10 miles away, we will credit a percentage of your membership fees - which relate to the period that the facilities are unavailable - at the start of the new membership year or membership month, excluding the initial 7 days. If you have monthly membership, your next direct debit payment will be adjusted to account for the time lost.

We will display details of the opening and closing times on our website and notify you of changes by email. Opening times may vary during the Christmas period and on other bank holidays. We will always provide as much notice as possible if we reduce the opening hours of TP Wellness.

 

  1. Complaints

We are committed to making sure our members are satisfied with the service we provide, but we are realistic enough to know that things don’t go according to plan all the time. If you or your linked members have a complaint, we want to know about it as soon as possible so that we may fully investigate and resolve it.

If you have a complaint, please raise this with a member of the TP Golf and Wellness team. If you are not satisfied with their response, please then raise this with the duty manager and if you are still unsatisfied, please contact either our Hotel Manager or General Manager.

 

  1. Liability

We do not accept liability for damage or loss to your property or a guest’s property that may happen on the premises or within the resort grounds, other than the liability which arises from our negligence or our failure to take reasonable care.

We do not accept liability for the injury or death of any member, child or guest that may happen on the premises or within the resort, other than the liability which arises from our negligence or our failure to take reasonable care. We restrict our liability for death and personal injury to the fullest extent permissible in law.

Nothing in these terms and conditions is meant to limit any rights you might have as a consumer.

 

  1. Data protection

We will deal with all information we hold about you in line with our privacy policy which is available on our website: tewkesburypark.co.uk. If you want to know what information we hold about you, or you want us to correct any information we hold about you, please speak with a member of our team.

 

  1. Children

We welcome children, but require them to behave appropriately. They must not put themselves or other people in danger or prevent other members or guests from enjoying the facilities. If your child is behaving unreasonably, we have the right to speak to you or the child about this. If your child continues to behave unreasonably, whether on one visit, or over a number of visits, we will try to resolve the issue by meeting with you. If we cannot resolve the issue during the meeting, we have the right to suspend them from using the facilities. If we suspend your child from using the facilities and you want to appeal against this, you must appeal in writing to our General Manager.

PART B – RULES AND REGULATIONS FOR USING CLUBS, FACILITIES AND ACTIVITIES

Definitions that apply to part B

  • “You” – means the lead member
  • “Linked member” – means anyone who is linked to your TP Wellness membership through multi-membership
  • “Your entire membership” – means your membership and the membership of your linked members
  • “We and us” – means Tewkesbury Park Ltd.
  1. Safety

As your safety is our main priority, we do not allow crockery or glasses into the wellness facilities unless we have organised this.
We do not allow animals - except for assistance dogs - in the wellness facilities.

To protect the safety of all members and guests, you must pay particular attention to all signs relating to health and safety; please speak to one of our team if you do not understand a notice or sign.

Fire exits are clearly marked throughout the resort. If there is a fire or if you hear the fire alarm, you should make your way out of the facilities through the nearest possible exit to the advertised assembly point in the car park.

If you suffer an accident or injury on our premises, you must report it and the circumstances under which it happened to the duty manager immediately. You should not use the wellness facilities if you have an infectious illness or condition and should inform a member of our team or your class instructor if you have any health problems. For your safety, when using the racquet facilities, you must wear appropriate footwear for the playing surface.

For legal and health reasons, you must not smoke while using any of the wellness facilities and smoking of any sort, including the use of smoking simulating devices, is not permitted within any of the resort’s buildings.

While you are in the resort, we expect you to behave appropriately, respectfully and politely, and dress appropriately at all times. We can prevent you from entering the facilities or ask you to leave if we think that your behaviour or appearance is not suitable.

Our wellness facility, by its very nature, includes areas where surfaces may become slippery or wet. All users of our facilities are reminded of this and urged to exercise caution at all times, especially when moving around our pool, spa and sauna facilities.

1.1 Health and safety of children

Children aged 15 or under must not use the sauna, steam room or hot tub.

Children aged 14 or 15 may only use the gym if they are accompanied by their linked adult member and under their linked adult member’s supervision. They will also need to provide documentary evidence of being a member of a sports club and of being fully trained in the use of sports equipment.

Children aged eight or over must use the men’s or women’s changing rooms, according to their gender declared at birth.

1.2 Car park

You are only entitled to use the car park while you are using the wellness or resort facilities. You must park only in the spaces in our car park. If you do not have a disabled badge, you must not park in the spaces reserved for disabled badge holders. We do not guarantee that car parking is available at all times. You park in the car park at your own risk. We do not accept liability for any loss or damage to your car, or personal belongings in it, while you are parked in our car park.

1.3 Swimming pool, sauna, hot tub and steam room

For health and hygiene reasons, all bathers are required to shower before entering the pool, steam room, sauna and hot tub and again after using any of the thermal areas.

You must always follow the pool, hot tub, sauna and steam room rules and guidelines displayed on the notices in the facilities, as well as any guidelines our team give you.

There is a strict "no diving" rule in the pool, as it is not deep enough to allow this.

We may reserve the pool at certain times for adult-only swimming or aqua-aerobics classes. We will always try to let you know beforehand about these sessions by putting details on the health & wellness timetable.

You are not allowed to use fins, flippers, lilos, radios or similar devices capable of producing sound in or near to the pool. You are not allowed to shave, exfoliate, use oils or conditioners or eat in the pool, hot tub, steam room or sauna.

Children aged three and under must wear swimming nappies at all times whilst in or near to the pool.

When using the pool, children must be supervised as follows:
Under 4s - 1 adult per child
Under 8s and non-swimmers under 16 - 1 adult per 2 children
Children aged 14 and under must be accompanied and supervised in the pool and the pool area by a linked member over the age of 18.

The pool is not monitored by a lifeguard and users are reminded that they use the facilities entirely at their own risk.

You should not use the sauna, steam room or hot tub for longer than the recommended time and should not use at all if you have cardiovascular-related health problems.

Floors may be slippery when wet and all users are asked to take care when entering the pool, sauna & hot tub. Users must always use the steps and hand rails provided.

All users are asked to be seated on a towel in the sauna and to place used towels in the laundry bins provided. The sauna is provided with an electrical supply. Do not under any circumstances attempt to pour any water onto the electrically heated coals, as this will cause a fire hazard.

1.4 Lockers

You bring all personal belongings to the wellness facilities at your own risk. We do not accept legal responsibility for any loss or damage to these items. If you leave your belongings in a locker overnight, we have the right to remove your belongings. You can claim the belongings we have removed from the wellness reception for up to two weeks after we remove them. After this time, we will not be responsible for the belongings. If you find lost property, you must hand it into the club reception immediately. We will hold items for three weeks only before giving them to charity.

1.5 Gym and fitness facilities

Our aim is to make you feel better, and we try to make this as much fun as possible. We know that everyone has different aims, levels of skill, tolerance and fitness. Before you start using the gym or fitness equipment, we will ask you to complete a pre-exercise questionnaire and have a supervised gym induction session with one of our team. If you have concerns about your physical condition, you must not do strenuous physical activities without first getting medical advice. To make sure you get the most from every activity that you do at the club in the safest possible way, you should always make sure that you warm up properly and take time to cool down after your activity. You should not take part in any physical activity that you may not be fit for. You are responsible for monitoring your own condition during physical activity. You should tell a member of the team when you join about anything that is relevant to your physical condition. You should continue to keep this information up to date throughout your membership. If you suffer any unusual symptoms, you must immediately stop the activity and tell any member of the team.

Please wipe down any gym equipment after use, using the disinfectant wipes provided.

1.6 Racquet sports facilities

Squash and tennis courts can be booked online through your membership portal.

1.7 Tee times

Tee times should be booked through our online portal. Please ensure that you check in at the TP Golf & Wellness reception before beginning your round.

1.8 Photographs and videos

You may take photographs and video recordings for your own personal use provided that you keep to these rules:

  • You must not take photographs or videos of any children under 18 other than your own.
  • Anyone who appears in your photographs or videos must be aware that you are filming them and you must get their permission first.
  • You must not take photographs or video recordings in a changing area, pool, sauna, steam room, hot tub, or toilet.
  • If another member or guest is unhappy that you are filming them and makes a complaint to us, we may ask you to show us any images which you have taken and to delete them if appropriate.
  • If a member of our team asks you to stop filming or taking photographs, you must do so.

1.9 Other rules

All memberships do not automatically include provided towels. A single-use towel will be provided upon request. Any additional towels will be charged at £1 per towel, payable at the time of use by debit or credit card. No discount is available on charges levied for towels.
